How do I apply for group travel? 

Form

Fill in and send the application form. You can request a quotation up to 11 months before departure. The minimum group size is 10 people, who will travel together on at least one flight.

Quotation

We aim to send you an obligation-free offer within three working days of receiving your application.*

* The group travel quotation (i.e. total price for your group’s flights) is based on the number of passengers, seats available, destination, period of travel and the average ticket price for that travel class (including taxes and booking fees).  

Confirmation 

If you're happy with the offer, send us an email to confirm the booking. Don't forgot to specify which flights you want to book.
If you're not sure, give yourself time to think it over. Take an option on the booking for up to 14 days, free of charge.  

Payment

The booking is finalised when you make a down-payment or pay in full, whichever applies in terms of the sales agreement.

Passenger information

Once the full amount has been paid, we’ll email you a form to complete. Please fill in passenger information for everyone in the group (To be submitted no later than 35 days before departure).

Online check-in 

Once we have all the necessary information, your group is ready for travel. You can check in online before departure.

A group consists of at least 10 people (children under the age of 2 don’t count if they travel on a parent’s lap) who all travel on at least one flight together.


Important: children under the age of 12 must be accompanied by an adult. One adult can travel with a maximum of 12 children under 15 years old. Each adult can travel with a maximum of 2 babies.

You can request a non-binding offer for a group travel trip via grouptravel.klm.com/en. This applies if you live in the Netherlands or if your company is registered in the Netherlands. You can request a quote for a group on the KLM website in the country where you live or where your company is registered. Groups based in the Netherlands, Curacao, Aruba and Bonaire can request a quote via grouptravel.klm.com/en . For contact details in other countries, please check KLM.com.

We calculate the price for a group trip independently of the lowest rate given on our website. The price depends on the capacity of the flight and may be more expensive than the cheapest single ticket available on our website. The reason being that the number of available seats declines for every booking we make. This means a seat may be available at a lower price for an individual passengers, but not for a group, owing to the number of passengers.
Group travel is possible on flights operated by KLM, Air France and Delta Air Lines. Codeshare flights, flights operated by other airlines, cannot be booked via the KLM Direct Sales Group Desk.
Yes, the form you complete allows you to indicate various preferences. You can also request several quotes to more destinations or a one way trip.

In order to book a group trip, all of the group’s members must fly on at least one flight together. This may be the outbound or homebound flight.
You can book a group trip up to 11 months before departure. If you wish to book less than 48 hours before departure, please contact the KLM Direct Sales Group Desk to discuss the possibilities.

If the child has their own seat, then they pay the same fare as an adult and count towards the total number of the group. Children under the age of 2 are allowed to travel on a parent’s lap for 10 percent of the net group fare.

The service fees for a group trip amount to EUR 25 per person. These fees are non refundable.
After making a group reservation you will, depending on the date of departure, be given a 14-day option free of charge. Within this period you can cancel the booking free of charge.

If you have already booked and other people wish to join your group, the ticket price for these passengers will differ from that paid by the rest of the group. This depends on the number of tickets available at the time.


If you have booked as a group and some members decide to not to travel, you can cancel seats, depending on the number of days until departure. Cancellation costs may be charged for any seats that are cancelled.


If such cancellations cause the total number of group members to drop below the minimum of 10, the group rate will no longer apply and the group booking will be cancelled. Cancellation costs may be charged for this.

No, this is not necessary. Depending on the departure date, the names must be given no later than 35 days before departure.
Yes, if you do so before the tickets are issued (30 days before departure), you can change names without incurring additional costs.
No, unfortunately this is not possible.
• If you wish to reserve seats earlier than eight days before departure, you will be charged reservation costs;
• You can reserve seats free of charge from eight days before departure. From that point onwards, you can individually choose a seat via “My Trip” on the KLM website or when checking in online;
• It is not possible to reserve seats together. If you have special wishes with regard to seat reservation, please contact the KLM Direct Sales Group Desk;
• If you wish to book more comfortable seats in Economy Class or if you wish to upgrade to business class, you can do so up to two days before your first flight with your group. For further information, please contact the KLM Direct Sales Group Desk.

• For travel to destinations outside Europe, on flights operated by KLM and Air France, one piece of hold baggage and one piece of hand baggage is included in the fare;
• For travel within Europe:
o On flights operated by KLM, hold baggage is not included in the Economy Class fare. You are allowed to take one piece of hang baggage along free of charge;
o On flights operated by Air France, one piece of hold baggage is included in the fare. You are allowed to take along one piece of hang baggage free of charge;
• You can reserve extra hold baggage easily via “My Trip” on the KLM website or when checking in online;
• If you are a Flying Blue member, you get discount on costs for personal hold baggage by filling in your membership number;
• You can add (extra) hold baggage via our group travel department. If this is bought for the entire group then these additional costs may be specified via the final invoice or paid by credit card. In case of individual requests, luggage prices are subject to change and the amount will be confirmed at the time of issuance;

Yes, you will earn Flying Blue Miles in accordance with the applicable terms and conditions of the Flying Blue programme. Passengers only earn Flying Blue Miles if they actually make use of the ticket issued to them. You can submit your Flying Blue membership number to the Direct Sales Group Desk, fill it in under “My Trip” on the KLM website or specify it when checking in online.
Yes, you will earn blue credits for your business in accordance with the terms and conditions of the bluebiz corporate loyalty program. This only applies for bluebiz members whose business is registered in the Netherlands. Please give your bluebiz account number when booking a group trip. Group bookings do not give you access to other bluebiz corporate loyalty program benefits.
All tickets will be sent to the contact person for your group, which means you do not have to print them. However, all boarding passes must be printed.
We advise you to check in online in advance. You can do so in groups of nine people, by filling in the ticket numbers. After this, you can print the boarding passes. You can also check in at the self-service kiosks at the airport.

On confirmation, you will pay a deposit of 30 percent of the net fare per seat. This will be deducted from the final invoice.


No later than 32 days before departure, you will receive a final invoice for the remainder, which you must pay at least 30 days before departure.

You must pay the deposit for group travel by way of a bank transfer. You will receive a final invoice for the remainder. 
Yes, you can pay for a group (in full or in part) with blue credits, if your balance allows this. Please indicate when booking that you wish to use blue credits.
